Working text for later legal review. This is not a finished policy.

Privacy

This note explains, in plain language, how this website treats personal information when you use the contact, partnership and volunteer forms. It is a working note for the Trust, not a completed legal policy.

Who this site belongs to

This website is the public site of Alpana Welfare Trust. Public contact details shown on the site are only those the Trust has approved for publication.

What the forms collect

When you submit a contact, partnership or volunteer form, the Trust stores the details you enter (such as name, phone, email if provided, location fields where asked, programme interests, and your message) in a secure database operated for the Trust. Submissions are visible only to authorised Trust owner and administrator accounts in the private admin area—not to the public and not to editor-only accounts.

Email notification of applications

Each genuine submission also triggers an email to the Trust’s designated notification address so staff can review the full application. That email includes the fields you submitted and a private admin link. It does not include passwords, internal notes added later by staff, or unrelated private data.

Certificate verification

Public verification shows only status, student name, course, duration, certificate number and relevant dates. Date of birth is requested for manual (number) checks so the Trust can confirm the right certificate, but it is not shown in results, not printed on certificates, and is not stored as the date itself—only a secure verification check is retained. QR links verify with a secure token and do not ask for date of birth. Guardian or legal consent for collecting a student’s date of birth for this limited purpose should be confirmed by the Trust before production use. This note is not a completed legal policy.

Status of this note
